Job Description
We are seeking a highly experienced Export Logistics & Shipment Planning Manager to lead end-to-end export execution for a leading rice export business in Thailand
The successful candidate will be responsible for managing shipment planning, export documentation, vessel coordination, customer order fulfillment, inventory allocation, freight coordination, customs compliance, and stakeholder management across global markets including Asia, Africa, Middle East, Europe, USA, and Oceania.
The ideal candidate must possess strong commercial awareness, exceptional attention to detail, and the ability to manage multiple shipments simultaneously in a fast-paced commodity trading environment.
Responsibilities
Shipment Planning & Execution
• Manage export shipments from purchase confirmation to delivery
• Develop shipment plans aligned with sales and production
• Coordinate containerized and bulk vessel shipments
• Ensure timely booking of vessels, containers, trucking, and loading slots
• Monitor schedules and resolve delays
• Use export targets to optimize factory capacity
• Maximize container utilization and reduce logistics costs
• Prioritize shipments during peak seasons
Export Documentation Management
Understand:
• Commercial Invoice, Packing List, Bill of Lading
• Certificates: Origin, Phytosanitary, Fumigation, Health, Insurance
• Export Declarations, Shipping Instructions, Letter of Credit documents
Ensure compliance with customer, import country, Thailand Customs, and banking requirements
Customer Order Management
• Review contracts and shipment needs
• Convert contracts into shipment plans
• Coordinate order fulfillment with operations, production, warehouses
• Communicate shipment status with international customers
• Provide schedules and resolve discrepancies
Shipping Line & Freight Management
• Maintain relationships with shipping lines and freight forwarders
• Negotiate freight rates and agreements
• Monitor vessel schedules and container planning
• Track freight market and container shortages
• Evaluate logistics providers
• Manage demurrage and detention exposures
Inventory & Stock Planning
• Coordinate with production and warehouse teams
• Allocate cargo based on priorities
• Monitor stock vs shipment commitments
• Ensure FIFO management
• Prepare stock plans to minimize delays
Customs & Regulatory Compliance
• Ensure compliance with Thailand Customs and destination regulations
• Coordinate customs clearance
• Maintain export licenses
• Monitor regulatory changes
• Liaise with government and customers for audits
Banking & Trade Finance Coordination
• Handle export transactions: LC, CAD, D/P, D/A, Advance TT, Open Account
• Submit shipping documents timely
• Resolve discrepancies under LC
• Collaborate with finance to improve cash collection
Cross Functional Stakeholder Management
Coordinate with internal teams: Sales, Procurement, Production, Planning, Quality, Finance, Customer Service
Coordinate with external stakeholders: Customers, Shipping Lines, Freight Forwarders, Customs Brokers, Surveyors, Banks, Insurance Providers, Government Agencies
Continuous Improvement & Reporting
• Develop KPI dashboards
• Improve export processes and documentation
• Implement cost-saving initiatives
• Analyze delays and root causes
• Drive automation and digitization
• Prepare reports and forecasts
Experience
•3 to 10+ years in export logistics, shipping, or supply chain.
•Experience managing large exports from Thailand
•Experience with multiple destinations preferred
•Knowledge of Incoterms preferred
Preferred
•Experience in rice export companies
•Experience with multinational commodity trading
•Experience managing Bulk & Containerized shipments
•Exposure to SAP or ERP systems preferred
Qualifications
•Bachelor's Degree in Logistics, Supply Chain, International Business, Commerce, Business Administration, Maritime Studies, or related field
•Master's Degree preferred.
Language Requirements
Mandatory
Native or Fluent Thai
Professional Business English (Written & Spoken)
The candidate should be able to:
•Negotiate in Thai with local authorities and logistics providers
•Communicate in English with global customers, shipping lines, and international stakeholders
•Prepare professional reports, shipment updates, and export documents in English
